AME - Update in Assessment Message |
Within the Messages section of an assessment setup, you can define the text for the Review Field 'Mark to reopen all questions' within the review. This section appears within an assessment when review is setup. This can be done from Assessment List (Select the survey) > Message > Edit messages for survey. See Assessment Messages for more information. |

System Fields |
The System Field screen has been redesigned. You still re-label fields here, but you can now also turn them on/off on the object and lists where they would appear. This is basically a one stop shop for configuring fields (names and on/off). New features added to this screen include:
Security - Roles |
Search & Analysis |
Pivot Chart |
Pivot capability is now available which allows the ability to create inline Pivot Column charts, Bar charts or Pie charts within the search result screen to provide simplified dashboard capabilities. Similar to excel reports, users can define a report to run as a pivot and display more graphics in the search result screen. This feature is not enabled by default. The Pivot Setting can be located in the Edit Search > Properties tab > Check Enable Pivot (Under Search Result/Pivot Settings). See Create a Search for more information. |
Classifications - Tags |
Previously, Tags could be used to define linkages and relationships. However, users could not report on Tags through the core searches, only through a custom Crystal report. Users can now report on tags and linkages through the core searches. Available fields to search on include Tag Path, Tag (Name), Tagged Object Type, Tag Type Description, Tag Type, Tag Description, Tag-Entity Link, Tag-Test Link, Tag-Control Link, Tag-Risk Link, Tag-Objective Link. See Search Tags for more information. |
View Definition |
A few new properties have been added under the View Definition in order to facilitate editable searches. Users can now select specific fields from objects they want to make editable. A new Pre-filter has also been introduced in the View Definition, which allows administrators to define search criteria that is applicable to users in defined roles at both an entity and record level (e.g. show all controls that require review, for users in the entity-level “reviewer role”). Using a Pre-filter simplifies workflow as well as improves performance by limited the number of records queried before returning results. See Create a View Definition for more information. |

Project Archive |
The concept of archiving a project has been made legacy going forward from v4.2. While scoping entities in a project, the RCM sub-objects and records will now be copied to the project. This will create a copy of core RCM data in Project RCM. The core RCM data and project RCM data will be independent of each other and changes made to objects in core RCM will not have any impact on objects in project RCM and vice versa, thereby eradicating the need of archiving the core RCM. Following the update, the Project Core Search will now refer to the copied Project RCM data instead of the core data. See Close and Archive a Project, Entity Hierarchy and Project Settings for more information. |
Global Settings for Scoping and Syncing |
With the concept of maintaining different copies of objects in Core RCM and Project RCM comes into picture with v4.2, you can now define the global settings for scoping entity into projects. The Project tab in the System context allows you to either copy all records of an RCM sub-object into the scope of a project or selectively copy them into the scope of a project. Clients who wish to manage the size of their databases should selectively copy the records at the time of scoping. Copying all records will occupy more storage on their databases. You can also define the global settings for syncing the fields in the Project RCM with the core RCM. The Project tab in the System context allows you to select the fields in the Project RCM that can sync with the Core RCM. See Project Settings for more information. |
Selective Scoping |
When the Selective scoping is chosen for an object, the folder and related items for that object will not be automatically checked when the entity is checked in the scoping screen, irrespective of whether the sub-items are expanded or not. However, all items will be checked if the user chooses the object's folder. See Project Settings for more information. |
Syncing Core RCM with Project RCM |
Though Core RCM and Project RCM will now work independently, you still can sync the changes made o records in the Project RCM with corresponding records in the Core RCM, depending upon the Project Settings. However, certain fields in the synced records will not be updated in Core RCM. See Sync Project RCM with Core RCM. |
Sharing and Syncing Project Tests |
You now have an option to either share or sync the project testing detail with the core RCM. You can also choose to share and sync the testing detail simultaneously. See Project Test Share Property for more information. |
Enhancements in Global or Selective Evaluation Reset |
The Project RCM objects will now be ignored while performing Global or Selective Evaluation Reset. The Global or Selective Evaluation Reset will update only the Core RCM objects and not the Project RCM objects. See Perform a Global Evaluation Reset for more information. |
Enhancements in Category Value Reference Update |
The Project RCM objects will now be ignored while performing Category Value Reference Update. When a user runs Category Value Reference Update, the RCM, Objectives, Controls, Risks, and Project Test Detail records that are copied under a project will not be updated. See Categories for more information. |

See Entity Hierarchy for more information. |

These columns will also appear in core searches and view definitions. In addition, the Entity Status field containing the hyperlink to the Core RCM has also been implemented in the Project RCM Evaluation form. See Evaluate a Project RCM for more information. |

New configurable fields have been added to the Project Report work paper forms. See Complete a Project Report Work Paper for more information. |
Project Scheduler Enhancements |
You will not see a numeric value in a Project Scheduler block if no time has been allocated to a particular date. Previously, you would see "0" for the date where no time was allocated. Now, it would remain blank if no time has been allocated. See Scheduling for more information. |
New View Options in Project Scheduler |
The Project Scheduler now has two views: Project View and User View. The Project View shows you the list of projects. You can view the list of team members assigned to a specific project by expanding the project name. On the contrary, the User View shows you the list of team members. You can view the list of projects assigned to each team member by expanding the team member name. New filter options have been added to both views. See Scheduling for more information. |
Security Updates |
You can now update the passwords for multiple users at once after a Governance Portal update, while performing mass user update via the Excel spreadsheet. The mass password update will not reset any existing passwords. See User Management for more information. |

The Governance Portal v4.2 will ship with a new out-of-the-box context called Audit for new clients. This context allows you to access the core functionalities associated to projects. All functionalities associated with projects have been brought together under one roof, so that you do not have to configure them separately at various areas of the Governance Portal. See Contexts for more information. |
Confidential Projects |
For Confidential projects, any user that has been assigned the Team Member role will now have permissions pertaining only to the Team Member role. All previously held permissions by the user will be overwritten, no matter, the user is a Super Admin user and held the Enterprise permissions to perform project related operations. Note: While upgrading to v4.2 from an older version of the Governance Portal, you will loose the existing security setup for the Confidential projects, as the Enterprise/Entity/Object permissions will be ignored. After the upgrade, you will have to manually assign additional permissions held by the user previously, if the user has been assigned the Team Member role for Confidential projects. In addition, any user, including the Super User, holding the Team Member role will not be able to make a Confidential project as non confidential without having assigned the Edit permission manually. |
