AME - Sec - Invitations Tab - Standard Assessments
Invitations tab is where you can configure the invitation groups to send email responses to assessors and reviewers. For every assessment, four system generated invitation groups are created automatically under the Invitations tab. The system generated invitation groups are:
Assessor Invitation Group
Reviewer Invitation Group
Re-open Invitation Group
Re-submitted Invitation Group
Note: Only the Assessor Invitation Group will be created in case of Anonymous assessments as no reviewers are allowed for Anonymous assessments.
Invitation groups are managed from the invitation Group list, where you can view, edit, and monitor your invitation groups. You will not be able to create new invitation groups. Furthermore, deleting the system generated invitation groups is not allowed. Invitation groups cannot be archived.
Invitation reports provide overall statistics as well as detailed information for invitation groups in an assessment. Click Back to return to the Invitation Group List.
Note: Invitation reports are only available for group lists with a status of "Processing" or "Completed".
Select the group lists you wish to report on and click Invitation Report.
Select an individual invitation group or all invitation groups in the assessment form the drop-down list at the top of the screen.
Group statistics
The following statistics are available for the selected invitation group (or all groups):
Invitations (non-duplicate): The number of invitations sent for the group. Invitations considered duplicates are not counted. All percentages shown for the other statistics are relative to the number of non-duplicate invitations.
Initial invitation processed: Invitations for which the initial email is sent.
Initial and reminders processed: Invitations for which the initial email and all reminders are (always 100% for groups in Completed status).
Invitation responded: the invited assessor has responded to the invitation. The exact meaning of 'responded' depends on option 'invitation responded' for the invitation group from which the invitation originates.
Response started: The invited assessor has answered at least 1 question in the assessment.
Declined: The assessor declined to answer the assessment. Note that declining to answer an assessment applies across all invitation groups for the assessment. Therefore declining an invitation from one group will result in all invitations for all current and future groups for the assessment for the respondent being declined.
Opted out: Respondents who opted out from all assessments.
Bad email: Respondents for which a bad email report was sent back in response to the invitation email.
Send failure: Instance of failures to send invitation emails. Send failures can be an indication of an email configuration issue.
Invitation List
The invitation list section is divided into two tabs: Invitation Report and Removed from Scope.
The Invitation Report tab shows invitation and response statistics for every assessor in the selected invitation group(s).
Click Export to download the report to a CSV file.
Select the check box next to an assessor in the list and click Send invitation or reminder immediately to send an invitation email to the selected user. You can select multiple assessors to send emails in mass. You can also send ad-hoc reminder emails from the invitation report.
The group statistics details fields (as explained in the preceding section) are available for each respondent under an invitation group in the Invitation Report section.
The Removed from Scope tab shows the invitation mails which are sent to the "persons to invite" list before the responses were cleared by the Assessment Manager. For instance, an assessor takes an assessment and submits it to a reviewer for review. The reviewer suggests some changes and assessor resubmits the assessment after making the required changes. The Persons to Invite list will get updated based on the workflow. Now, if the Assessment Manager clears the responses of the assessment, the Persons to Invite list will reset to default. In addition, the users who have already received the invitation mails will be displayed under the Removed from Scope tab with required details. The purpose of this tab is to retain the read only report in order to maintain the history.
